How-to Create Top Site Collections And Subsites

 

  • Sites forthe Division level should start as top site collections, do not make them subsites of directorates. The reason is that re-organizations are mostly done at the directorate level, so divisions and departments can move from one directorate to another. If divisions are top site collections, nothing changes except navigational links. If they are subsites to directorates, then in addition to having to migrate them, the URLs will break.

  • Are these sites 'controlled documents sites' or are these sites 'collaboration sites'? Controlled document sites should have governance, design and coordination amongst the SLAC departments to standardize content types.

  • Start from Collaboration Portal template for top site collection (one of Publishing Site templates)

  • Use 'Publishing -> Publishing Site' template for sub-sites (do not use 'Publishing Sites with Workflow' or 'Collaboration Team Sites). Publishing sites can have many pages per site, Collaboration sites can only have one page per site.

  • Name URL something meaningful and standard (e.g., xfd_controlled, epd_collab)

  • No spaces in URL, name of document libraries and lists (these names are used for the SharePoint internal names that the URLs are based on, and look ugly and long if there are spaces)

Top Site for LCLS

1) Create page:
Select 'Welcome page with Web Part zones'
Change contact e-mail on Welcome page to 'lcls-webmaster@slac.stanford.edu'

Change Welcome page to this new page.


2) Top web parts:
a) Load image into Site Collection Image Library
Edit picture
Add logo

b) Edit content
Add text



3) Right web part:
Announcements -> Create list -> Create site_view (columns title/modified, sort by 'modified, descending', style->shaded, limit to view 2 items)
-> bring site_view into web part, no toolbar

Calendar -> rename 'Events' -> Create site_view (columns title/modified, sort by 'modified, descending', style->shaded, limit to view 2 items)
-> bring site_view into web part, summary toolbar)

Meeting Minutes -> Create document library, version->major version, retain 20 versions, require check-out->no
-> Create site_view (columns name/modified, sort by 'modified, descending', limit to view 2 items, style 'Shaded')
-> bring site_view into web part, no toolbar

-> All Documents (style 'Shaded')

Collaboration Documents -> Create document library version->major version, retain 20 versions, require check-out->no
-> Create site_view (columns name/modified, sort by 'modified, descending', limit to view 2 items, style 'Shaded')
-> bring site_view into web part, no toolbar

-> All Documents (style 'Shaded')

LCLS Controlled Documents -> rename 'Links' ->
-> bring summary view into web part, no toolbar

4) Left web part:
Site navigation -> show sites -> show up to 99

5) Delete sites: Document Center, News, Reports

6) Changed permissions to 'Access Request: mail to lcls-webmaster@slac.stanford.edu'

2) Repeat steps 1 to 3

For the 1st subsite, save as template.

For subsequent sub-sites, clone from the template and change the headings.
